INVOICING

If your business sells goods or services in Finland, you need to make sure your invoices follow the Finnish VAT rules. Getting this right helps you stay compliant with tax laws and ensures your customers can claim VAT if they’re entitled to.

What Needs to Be on a VAT Invoice?

According to the Finnish Tax Administration, every invoice with VAT must clearly show:

1. Your business details:

  • Business name;

  • Business ID or

  • VAT number

2. Your customer’s details:

  • Name or business name;

  • Business ID or

  • VAT number (if applicable)

3. Invoice details:

  • Unique invoice number;

  • Invoice date;

  • Delivery date (if different from invoice date)

4. What's been sold:

  • Description of goods or services;

  • Quantity and unit price (excluding VAT);

  • Total amount before VAT

5. VAT details:

  • VAT rate applied (e.g., 25.5%, 14%, or 10%);

  • VAT amount;

  • Total amount including VAT

6. Other useful info:

  • Payment terms (like due date);

  • Any note about reverse charge, if applicable.

Quick Tips for Businesses

  • Keep it clear: A simple, clear invoice reduces errors and speeds up payments. At the same time, you can present more details than required by the law, but don't "overthink" it.

  • Digital invoices are fine: Electronic invoices follow the same rules as paper invoices.

  • Small businesses: If your turnover is below the VAT registration threshold, you may not need full VAT invoices—but it’s smart to keep basic records.

  • Correct mistakes quickly: Always reference the original invoice when issuing a Credit Invoice.
